To do the initial database set-up, design and build the following would be carried out.

Software
We use matchIT which is widely recognised as one of the best packages available on the market.

matchIT is an industry leading, fully integrated, highly professional software tool for batch data cleansing and enhancement. matchIT uses helpIT’s revolutionary phonetic & fuzzy matching technology to compare records within the same database or across multiple database sources and external suppression files, irrespective of platform, for merge purge, deduplication, suppression and addressing needs.

Fuzzy matching software uses complex algorithms for deduplication in order to detect phonetic, miskeyed and abbreviated variations, rather than just spelling or address fields like traditional solutions.  It overcomes human errors to highlight potential matches such as “William Shore at the BBC” and “Bill Shaw at the British Broadcasting Corporation”, even if address information is entered in incorrect fields.

matchIT is infinitely tuneable and offers advanced functionality such as automation, customizable reporting and user definable matching criteria.

Alongside matchIT we also use an excellent in-house bespoke system (ICE). This combination means we can always turn round counts/extractions within 24 hours. If a job has a particular urgency we can reduce this time significantly.

Analysis & Extraction
We use sophisticated SQL databases to provide database analysis and extraction. We will provide a full data summary of the selections available as part of the service and also count and extraction analysis as requested on the data held.

Updates
We would recommend that a quarterly update process be installed to capture and utilise all new names. All updated data is PAF enhanced and MPS flagged. On completion of the update we provide a data summary which gives a full breakdown of the data held.

Further Cleansing Services
We can also run a full data audit and in addition to the services offered above we can run your customer base against the deceased/bereavement file/goneaway suppression file, etc. A quote can be provided for this work once the main data set-up has been completed.
